Description

We are seeking a highly dedicated, self-motivated, and organized volunteer to serve as our full-time Resident Administrator and Project Manager at Dzokden Tashi Gadu. This is a pivotal live-in Dharma service role, essential for the successful establishment and daily operations of the new center.  The volunteer will be the central figure in managing Tashi Gadu’s day-to-day activities, overseeing property maintenance, coordinating local volunteer efforts, and acting as a key project manager for global Dzokden initiatives.  

Responsibilities

  • The volunteer must be financially self-sufficient during the initial trial period.  After successful completion of the trial period, the volunteer will receive food and a stipend.  Accommodation at the center is provided.   The volunteer will not be able to hold external employment at any time while serving in this role.  
  • Be the primary point person for the overall daily running of the center, ensuring a welcoming, clean, and conducive environment for practice and study.
  • Oversee and manage the logistics for all online and in-person events held at the center (e.g., classes, pujas, meditation sessions, community gatherings), including setup, registration, materials, and cleanup.
  • Handle general administrative tasks such as managing correspondence, maintaining records, organizing files (digital and physical), and purchasing and managing household and office supplies.
  • Serve as the primary contact for general inquiries to the center, directing questions to appropriate individuals or providing information directly.
  • Manage the daily operations of the center’s living quarters for any resident volunteers, ensuring a comfortable and harmonious environment. This includes coordinating shared responsibilities, managing supplies, and addressing household needs.
  • Welcome and assist visiting teachers, volunteers, and guests staying at the center, ensuring their comfort and needs are met; facilitate smooth communication and coordination among all residents and volunteers.
  • Regularly inspect the center building and grounds, identifying maintenance needs and coordinating necessary repairs or improvements.
  • Liaise with external vendors (e.g., cleaners, landscapers, repair services) for routine maintenance and specific projects.
  • Manage inventories of general supplies, cleaning products, and basic maintenance tools.
  • Be the initial point of contact for any facility-related emergencies.
  • Assist in the recruitment and onboarding of local volunteers for specific center tasks (e.g., cleaning, event support, gardening).  Coordinate and oversee local volunteer activities, ensuring tasks are completed efficiently and effectively.
  • Act as a dedicated project manager for various global Dzokden initiatives. Coordinate international teams, tracking timelines, and managing resources.  Facilitate communication with global teams and stakeholders.  Provide administrative, research, logistical support, progress reports on project progress as needed.
  • Actively lead and coordinate all logistical preparations for Khentrul Rinpoché’s significant visit in October 2025, including accommodations, transportation, event space readiness, materials, and any specific requirements, working closely with the President and relevant teams.

  • Must be financially self-sufficient and able to cover all personal expenses without external employment.
  • Ability to dedicate a minimum of 40 hours per week as a resident volunteer, with flexibility to accommodate evening and weekend events as needed.
  • Exceptional organizational and time management skills, with the ability to multitask, prioritize, and manage complex schedules.
  • Highly proactive, with a strong sense of initiative and problem-solving abilities. Able to anticipate needs and find solutions independently.
  • Flexibility and patience to adapt to changing requirements; willingness to adapt to evolving needs and take on varied tasks as required by a new and growing center.
  • Excellent verbal and written communication skills.
  • Mature, compassionate, adaptable, and able to work harmoniously with diverse individuals in a community living environment.
  • Proficient in using Dzokden’s productivity tools (e.g., Slack Google Workspace: Docs, Sheets, Drive, Calendar, Email) and comfortable learning new tools.
  • Ability to perform light physical tasks related to center maintenance, event setup, and household management (e.g., lifting up to 25 lbs, moving chairs/tables).
  • Prior experience in office administration, project management, event coordination, or managing a household/residence is highly advantageous.
  • Ability to work independently and collaborate with the review team, staff members and/or volunteers to fully support the project.
  • Openness to learn new technical skills and procedures; willingness to follow given standards, guidelines.
  • Able to transfer knowledge to future volunteers.

Our mission is to provide a vibrant and supportive environment for spiritual growth, study, and practice, fostering compassion and wisdom in the community. As a developing center, we are building our foundation and expanding our offerings, with a significant event planned for Khentrul Rinpoché’s visit in October 2025.
