Library Assistant

Description
We are seeking a dedicated Volunteer to maintain and organize the Dzokden Library to ensure secure, proper access to all Dzokden’s practice texts, sadhanas and other resources. This volunteer position requires a high degree of trust, confidentiality, and meticulous attention to detail as the Library Assistant will have access to the entire Dzokden Library repository. This role involves being available, on-demand, to prepare for upcoming events.
Responsibilities
- On-demand for events, as requested, retrieve the digital files of the required texts, sadhana and other resources. Update document formats, if required. Ensure all required resources are given to the Learning Center for the event.
- Manage and organize the Master Library Google Sheets that track the text, title, correct Google drive permissions, authors, URLs and other metadata.
- Ensure texts use Dzokden’s standard formats; revise as needed.
- Accurately copy/paste URLs for each document into the master spreadsheet, linking directly to the corresponding file in Google Drive.
- Understand and actively manage the correct file permissions within Google Drive including
- Tracking who has access to each document (e.g., editors, viewers)
- Managing permissions for translated document assignments
- Granting appropriate access to translators and reviewers
- Maintaining a clear understanding of restricted documents and enforcing access restrictions.
- Ongoing Maintenance: Maintaining the master list going forward, ensuring it accurately reflects the Dzokden Library repository, adding new documents, updating existing entries, and removing outdated materials.
Skills & Qualifications
- A strong understanding of Google Drive's file management system, including sharing, permissions, and folder organization, is essential. Expertise in Google Sheets is crucial for managing the master spreadsheet.
- Meticulous attention to detail and accuracy, as even small errors can lead to confusion and access issues.
- Strong organizational skills and ability to manage a large volume of information in a Google Sheet.
- Able to work independently with good organizational and time management skills, diligence,attention to detail to ensure accuracy and quality.
- Excellent interpersonal and communication skills.
- Ability to collaborate with other volunteers and team members to fully support the project; ability to work in a team is essential.
- Openness to learn new technical skills and procedures; willingness to follow given standards, guidelines.
- A high degree of trust, confidentiality and discretion is essential. Cooperative, reliable and ability to persevere when faced with obstacles.
- Ability to use other applications in the Dzokden Google Workspace such as Docs and Slack.
